This policy applies to all services offered by Quantums Pulse, including video editing, post-production, video trimming and formatting, social media content preparation, basic color correction, basic audio editing, and media file preparation for publication.

2. Refund Eligibility

2.1 Before Work Begins

If you cancel your order before we have started working on your project, you are eligible for a full refund (100%) of the amount paid. To qualify for this refund:

  • You must submit a cancellation request via email to info@quantumspulsemedia.com
  • The cancellation must be received before we begin processing your media files
  • You will receive confirmation of your cancellation and refund timeline

2.2 After Work Has Started

Once we have begun working on your project, refunds are handled on a case-by-case basis. Factors we consider include:

  • The amount of work completed
  • The resources and time invested in your project
  • The reason for the refund request
  • Whether the issue can be resolved through revisions or adjustments

Partial refunds may be offered based on the percentage of work completed.

2.3 After Project Completion

Once a project has been completed and final deliverables have been provided, refunds are generally not available. However, we will consider refund requests if:

  • The delivered work significantly deviates from the agreed-upon specifications
  • There are technical issues with the final files that we cannot resolve
  • We failed to deliver the project within the agreed timeline without prior communication

You must report any issues within 7 days of receiving the final deliverables.

3. Non-Refundable Circumstances

Refunds will not be provided in the following situations:

  • Change of Mind: If you simply change your mind after work has begun or been completed
  • Subjective Preferences: If you are dissatisfied with creative or stylistic choices that were within the scope of the original project specifications
  • Client-Provided Materials: If issues arise from poor quality or unsuitable source materials you provided
  • Scope Changes: If you request changes beyond the original project scope after work has begun
  • Delayed Response: If project delays are caused by your failure to provide timely feedback or materials
  • Third-Party Issues: If problems arise from third-party platforms or services outside our control
  • Completed Projects: If you have already used, published, or distributed the final deliverables

4. Revision Policy

Before requesting a refund, we encourage you to work with us to resolve any issues through our revision process:

4.1 Included Revisions

Each service package includes a specified number of revisions. The number of included revisions will be clearly stated in your service agreement or order confirmation.

4.2 Additional Revisions

If you require revisions beyond the included number, additional fees may apply. We will provide a quote for additional revision work before proceeding.

4.3 Revision Timeframe

Revision requests must be submitted within 7 days of receiving the initial deliverable. Requests submitted after this period may be subject to additional charges.

5. How to Request a Refund

To request a refund, please follow these steps:

6. Refund Processing

6.1 Approval Timeline

Once a refund is approved, we will process it within 5-10 business days.

6.2 Refund Method

Refunds will be issued to the original payment method used for the purchase. Depending on your payment provider, it may take an additional 5-10 business days for the refund to appear in your account.

6.3 Partial Refunds

If a partial refund is approved, the refund amount will be calculated based on the work completed and will be clearly communicated to you before processing.

6.4 Processing Fees

Please note that payment processing fees charged by third-party payment processors are non-refundable and may be deducted from your refund amount.

7. Service-Specific Refund Terms

7.1 Video Editing and Post-Production

For video editing services, refunds are evaluated based on the editing stages completed (rough cut, fine cut, final delivery). Partial refunds may be calculated proportionally.

7.2 Video Trimming and Formatting

Due to the quick turnaround nature of trimming and formatting services, refunds are only available if the work has not yet been started.

7.3 Social Media Content Preparation

Refunds for social media content preparation are available if the formatted content does not meet the technical specifications of the target platform due to our error.

7.4 Color Correction and Audio Editing

For color correction and audio editing services, we will work with you through revisions before considering refund requests. Refunds are available if technical issues cannot be resolved.

8. Chargebacks and Disputes

We encourage you to contact us directly to resolve any payment disputes before initiating a chargeback with your payment provider. Chargebacks can result in:

  • Suspension of your account and services
  • Withholding of project files and deliverables
  • Additional fees to cover chargeback processing costs
  • Legal action to recover costs and damages

9. Subscription Services

If we offer subscription-based services in the future:

  • You may cancel your subscription at any time

  • You will retain access to services until the end of your paid period

10. Force Majeure

In the event that we are unable to complete your project due to circumstances beyond our control (including but not limited to natural disasters, pandemics, government actions, or technical failures), we will:

  • Notify you as soon as possible
  • Offer to complete the project when circumstances allow
  • Provide a full refund if the project cannot be completed within a reasonable timeframe

11. Satisfaction Guarantee

While we cannot guarantee that every client will be 100% satisfied with subjective creative elements, we are committed to:

  • Delivering technically sound and professionally edited media files
  • Meeting the specifications outlined in your project brief
  • Providing responsive communication throughout the project
  • Working with you to address any legitimate concerns
  • Delivering files in the agreed-upon formats and specifications

12. Changes to This Policy

We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. Your continued use of our services after any changes constitutes acceptance of the new policy.

We will notify existing clients of significant changes via email when possible.
